When should we leave the hotel for a session?

Your information packet will include departure times based on driving distance to each layout. Arriving too early can interfere with setup, so please follow the published schedule.

Each railroad will have a representative at the hotel before sessions to gather crews and coordinate rides. Check in with that representative at least 15 minutes before departure.

Even if you have your own vehicle and know the route, check in before leaving in case another guest needs a ride.

Can we trade layouts?

Layout trading is strongly discouraged. Hosts plan staffing and often prepare custom items for specific guests.

If you have a specific scheduling need, contact your coordinator as early as possible.

Is it OK if I have to leave early?

Please plan to stay for the full scheduled session. Leaving early can prevent hosts from completing operations and can disrupt restaging for later sessions.

Will we have time for dinner on Saturday?

Some layout hosts provide a meal break during Saturday sessions. Others may organize a restaurant stop.

Your check-in packet will list meal details for each assigned session.

What do I need to bring with me?

Bring yourself and be ready to have fun. Layout hosts provide operating materials needed for the session.

If you have an FRS radio and prefer using your own equipment, feel free to bring it for railroads that support it.

Which railroads will I be able to operate?

Participating railroads are listed on the Layouts page. Review the details and send your preferences to your coordinator early.

Assignments are first-come, first-served, and the team will do its best to match your top choices.

How many layouts will I be able to operate over the weekend?

Four total sessions: one Friday after registration, two Saturday sessions, and one Sunday morning session before departure.
